DIRECTION D / PURPLE TRIANGLE LLCTHE WORK BEHIND THE WORK
Purple Triangle Communications

Make it easier for customers to take the next step.

A booking should collect the right information, respect your availability and explain what happens next. We connect enquiry, intake, scheduling and payment around your actual service rules.

The gaps between steps create the extra work.

An appointment in one system, a payment in another and essential details buried in an email leave staff piecing the job together. We map those handoffs, identify the information each person needs and build a journey that reflects how you deliver the service.

The scope starts with your existing setup, priorities and the people using it. We agree the responsibilities before implementation.

01

Service selection and intake

Ask relevant questions before a booking reaches your team. A photographer needs an event date and location; a contractor may need a job description and photos. The flow should adapt to the service without asking for unnecessary personal information.

02

Availability and booking rules

We define appointment lengths, buffers, lead times, cancellations and confirmation rules before building. Video consultations can be the default where appropriate, with the meeting provider and calendar access agreed separately.

03

Deposits, balances and payment status

We plan which payments are due, when they are collected and how staff recognize a paid or unpaid booking. Provider fees, refund policies and account approval remain separate business decisions.

04

Confirmations and reminders

Customers should receive the details they need to prepare, reschedule or get help. Automated messages are scoped with the appropriate consent, delivery method and human handoff.

A photography booking, from date to delivery

The customer selects a service, provides event details and requests an available date. Once accepted, the agreed deposit secures the booking and preparation instructions follow. A later balance and delivery stage can connect to the same customer record.

  1. Document the service rules and exceptions.
  2. Connect approved calendars and payment providers.
  3. Test booking changes, payment outcomes and staff handoffs.

Before you begin

Can customers pay without booking an appointment?

Yes, when that fits the service. A quote, invoice or product purchase may need a different path from an appointment. We define each flow explicitly.

Does this prototype process payments?

No. Live payment and calendar connections require a separate implementation, provider setup and testing before customer use.
